The following provides guidance as to the responsibilities of the officers of the Roundtable. This is not an official document of the Corporation.

President

The President is a Director of the Corporation, the CEO of the Roundtable and is responsible for the overall smooth operation of the Roundtable. The President is responsible for leading the officers and staff in furthering the goals of the Roundtable and assuring that membership is a valuable experience. Primary responsibilities include:

  • Calling of regular officer/director meetings.

  • Recording of director actions regarding the Corporation.

  • Maintaining relationships with Roundtable sponsors.

  • Official correspondence with Preston, Gates and Ellis.

  • Maintenance of the Roundtable strategy, vision and mission.

  • Development and leadership of Roundtable towards strategic goals.

  • Maintenance and growth of strategic alliances.

  • Calling of and conduction of monthly meetings of the membership.

Vice-President, Membership

The VP of Membership is a Director of the Corporation and is responsible for providing member services, public relations, and publicity for the Roundtable and Roundtable events. Primary responsibilities include:

  • Maintenance of an accurate database of membership data

  • Maintenance of an accurate membership e-mail distribution list.

  • Badges for members available for each meeting.

  • Directs the activities of the Webmaster in the maintenance and improvement of the Roundtable website including meeting announcements, meeting minutes, job-bank and help resources.

  • Advertisements in local papers for meetings and Roundtable activities

Vice-President, Programs

The VP of Programs is a Director of the Corporation and is responsible for providing quality monthly programs and the annual Roundtable conference. Primary responsibilities include:

  • Directing the activities of the Program Committee and the Conference Committee.

  • Assuring that the Roundtable monthly membership meetings are high-quality and meet the needs of the membership.

  • Assuring that the Roundtable annual conference is high-quality, useful to the membership and is a fiscally responsible venture.

  • Arranges for meeting locations, meeting resources (i.e. viewfoil machines, computers, screens) and refreshments as required.

  • Assists the Secretary with preparation of meeting agendas by providing presenter biographies and presentation descriptions in a timely manner.

Treasurer

The Treasurer is a Director of the Corporation and is responsible for the fiduciary health of the Roundtable. Major responsibilities include:

  • Regular statements of financial activities including bank balances and expenditures

  • Maintenance of checking and savings accounts.

  • Reporting of earnings and documentation as required by the IRS.

  • Collections of conference fees or outstanding other fees.

  • Payment of fees as directed by the Board of Directors.

Secretary

The Secretary is a Director of the Corporation and is responsible for documentation of Roundtable activities. Major responsibilities include:

  • Creation of agenda and minutes of all meetings.

  • E-mailing of agenda and minutes of meetings to appropriate groups (i.e. Officers, membership, Webmaster). E-mail to membership and Website at least 3 weeks in advance.
